Executive Assistant
Job Description
We are looking for a proactive, organized, and professional Executive Assistant to support the Managing Director in daily operations and coordination activities. The ideal candidate should possess excellent communication, documentation, and stakeholder management skills while ensuring smooth scheduling and operational support.
Responsibilities
. Calendar & Schedule Management
• Manage the Managing Director’s daily calendar, appointments, and meetings.
• Prioritize tasks and ensure smooth day-to-day operations.
Client Meeting Coordination
• Accompany the Managing Director to client meetings.
• Take detailed notes and record key discussion points.
Minutes of Meeting (MoM)
• Prepare accurate and professional Minutes of Meeting.
• Share MoMs with concerned stakeholders within 24 hours of the meeting.
Documentation Management
• Maintain organized records of client communications, agreements, MoM and
follow-ups.
• Ensure proper documentation and filing of important records.
Follow-up & Task Tracking
• Monitor action items and follow up to ensure timely completion.
• Coordinate with internal and external stakeholders when required.
Communication Management
• Screen calls and emails professionally.
• Draft emails, responses, and handle urgent matters on behalf of the Managing
Director.
Skills
- • 2–5 years of experience as an Executive Assistant.
• Experience in the real estate or construction industry will be preferred but is not mandatory.
• Strong note-taking and documentation skills.
• Proficiency in MS Office (Word, Excel, Outlook).
• Excellent written and verbal communication skills in English.
• Ability to work in a fast-paced environment.
• Willingness to work 6 days a week.
